This Privacy Policy explains how Vibe Muse LLC (“Vibe Muse”, “we”, “us”) collects, uses, shares and protects personal data when you visit vibe-muse.com, contact us, or when we provide e-commerce services to our clients.

For personal data collected through this website (for example when you fill in our contact form), Vibe Muse acts as the data controller. When we manage an online store on behalf of a client (orders, customer support, after-sales), we process the end customers’ data as a data processor, on our client’s documented instructions. In that case, the client’s own privacy policy applies to those customers.
2. Information we collect
Information you give us
- Contact details: name, email address, company name, store URL.
- The content of your message and the type of service you are interested in.
- Information exchanged during a project: contracts, invoices, billing details, project briefs and feedback.
Information collected automatically
- Technical data such as IP address, browser type, device, language, pages visited and date and time of the visit, recorded in server logs by our hosting provider for security and performance.
- Usage data collected by Microsoft Clarity, such as pages viewed, clicks, scrolling and mouse movements, device and browser type, and approximate location derived from your IP address. Clarity can record replays of your visit; the text you type in form fields is masked and is not recorded. Without your consent, Clarity works without cookies: each page view is measured on its own and is not linked to your other visits. If you accept analytics cookies, Clarity can also link your page views and visits together.
Data we process on behalf of clients
- When we run a store for a client, we may access its customers’ names, contact details, delivery addresses, order history and support conversations, only to the extent needed to deliver the agreed services.
3. How we use your information
- To reply to your enquiry and prepare quotes.
- To perform our contracts: building, managing and supporting stores, sourcing management, advertising and reporting.
- To send invoices, keep accounting records and comply with legal obligations.
- To keep the website secure, prevent fraud and abuse, and fix technical problems.
- To measure how the website is used (Microsoft Clarity) and improve its content and usability: without cookies on the basis of our legitimate interest, and with cookies only if you consent.
We do not sell, rent or trade your personal data. We do not use it for automated decision-making that produces legal effects.
4. Legal bases (EU/EEA and UK visitors)
Where the GDPR or UK GDPR applies, we rely on: your consent (for example when you tick the box on our contact form); the performance of a contract or steps taken at your request before entering into one; our legitimate interests in running and securing our business and website; and compliance with a legal obligation (for example tax and accounting rules).
5. Who we share data with
- Service providers that help us operate: website hosting, form delivery (our contact form is transmitted by email through the FormSubmit service), email, cloud storage, accounting and payment tools. They may only use the data to provide their service to us.
- Microsoft Corporation, which provides our website analytics tool Microsoft Clarity. Microsoft processes this data under the Microsoft Privacy Statement and may use it to improve its own products.
- Our clients, when we process their customers’ data on their behalf.
- Professional advisers (lawyers, accountants) under a duty of confidentiality.
- Authorities, when we are legally required to disclose information.
6. International transfers
Vibe Muse is based in the United States and works with clients in the United States and Europe. Your data may therefore be processed in the United States or in other countries. When we transfer personal data from the EU/EEA or the UK, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses or an adequacy decision, where applicable.
7. How long we keep data
| Data | Retention period |
|---|---|
| Enquiries that do not lead to a contract | Up to 24 months after our last exchange |
| Client contracts, invoices and project records | Up to 7 years after the end of the relationship (legal and tax requirements) |
| Server and security logs | Generally no more than 12 months |
| Analytics data (Microsoft Clarity) | Session replays up to 30 days; aggregated statistics and heatmaps up to 13 months |
| Your cookie choice | 13 months, after which we ask again |
| Client store data processed on their behalf | For the duration of the engagement, then returned or deleted as agreed |
8. Your rights
Depending on where you live, you may have the right to access, correct or delete your personal data, restrict or object to its processing, receive a copy in a portable format, and withdraw your consent at any time. EU/EEA and UK residents may also lodge a complaint with their local data protection authority.
California residents have rights under the CCPA/CPRA, including the right to know what personal information we collect, to request its deletion or correction, and not to be discriminated against for exercising these rights. We do not sell or share personal information for cross-context behavioural advertising.
To exercise your rights, email [email protected]. We will reply within 30 days and may ask you to confirm your identity.
9. Cookies
How we use cookies and similar technologies, including Microsoft Clarity, is described in our Cookie Policy. You can withdraw your consent at any time using the “Cookie settings” link at the bottom of every page. To object to cookieless measurement, contact us at [email protected] or enable your browser’s tracking protection.
10. Security
We use reasonable technical and organisational measures to protect personal data, including encrypted connections (HTTPS), restricted access on a need-to-know basis, strong passwords and two-factor authentication where available, and the revocation of access at the end of each engagement. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
11. Children
Our website and services are intended for businesses and are not directed at children under 16. We do not knowingly collect their personal data; if we learn that we have, we will delete it.
12. Changes to this policy
We may update this Privacy Policy from time to time. The current version is always published on this page with its “Last updated” date. If changes are significant, we will make reasonable efforts to inform you.
13. Contact
For any question about this policy or your personal data, contact us at [email protected] or by mail at the address above.
